Steps to Follow for a Successful Email Campaign

One of the most effective forms of outbound marketing is email campaigning. According to studies, 98% of marketers use email as one of their primary channels to distribute content, and 56% agree it is one of the most effective outbound channels. Email campaigns can yield high-quality leads when implemented well. To run a successful one, it is essential to focus on the following aspects.
Market Analysis and Research
The first step is establishing the objectives. Even before working on the content to be distributed, it is vital to understand the goals of the campaign, define the target audience, and analyse the constraints.
The goals should clearly state what you are trying to achieve. Should the campaign drive awareness or leads? Roughly how many activities are you expecting? Where is the pipeline leading?
Based on those goals, the target audience should be established. Uploading a list found on the internet and blasting a campaign at it is like shooting in the dark and praying to hit something. The campaign must be highly focused, and the list built from the requirements in your goals — selecting your audience by criteria like company profile, revenue, size, and the individual's role. You should understand which level of company would be willing to show interest, and who the relevant decision-maker is.
Once the audience is defined, look into the constraints of running the project: how many resources are available to invest in identifying potential leads, how many leads are required to meet the goal, and roughly how long it will take to generate the list. Based on all this, adjust your resources or goals accordingly.
Content Analysis
Once the research is complete, it's time to bring out the big guns. The king of any email campaign is the content, which can be divided into six major parts:
- The subject line
- The preheader
- The problem in the industry
- Your solution to the problem
- Why choose you
- The call to action
The subject line is the star of the email — it has to spark curiosity within about 78 characters to get the reader to open the mail. The preheader is another important part, visible even before the mail is opened, beside the subject line. Even though it can run up to 75 characters, some devices show only about 25 — so make it count.
Although many traditional emails start by introducing the company or person, studies show people are more interested in reading about trends in their industry. So start with the latest news, move on to the prevailing problems in the industry to hold attention, and only then get to your offering. When you reveal that offering, explain why they should choose you or your company — followed by a call to action. The most impactful call to action usually offers a freebie or a link to high-quality content, leading your audience to your website where remarketing can take over.
Drip Structure and CRM Management
Persistence is the key for any marketing channel. Studies show the average number of touchpoints before a lead converts is seven, so a strong drip is crucial. Many companies confuse a chain campaign with a drip campaign. A drip isn't just a sequence of mails — each mail should be triggered by the lead's previous actions. Every action counts, from opening a mail to browsing the website, and each should have a personalised trigger that sends relevant, high-quality content to keep the lead engaged.
To put a strong drip in place, you need a well-built CRM where every activity is documented and the score of each activity is clearly defined.
Outcome Analysis
Analysing the results is vital to running a successful email campaign. Run plenty of A/B tests on both content and timing: divide the campaign into small batches, treat each with different content and send times, analyse the results carefully, and set the rest of the campaign accordingly.
A well-directed email campaign can be a great channel for generating high-quality leads in a short time — focused and very cost-effective. Following the tips above will help you set up an efficient campaign and achieve the results you're aiming for.
